Reservations Supervisor - Wyndham Doha West Bay

The Reservation Supervisor will be responsible for maximizing rooms; revenue through management of the hotel’s room inventory, and for assisting in supervision of the day to day activities and duties of the reservations department. He / She will supervise the reservation functions for the hotel ensuring all reservations are processed in a pleasant, professional and efficient manner.
  • Supervises and coordinates activities of the reservation team members and providing reservations and customer service skills
  • Fully knowledgeable about the hotel guest rooms, rates, promotions, amenities, programs, special discounts, facilities and services
  • Attends daily and weekly revenue strategy meetings
  • Actives quick response to guest problem in providing the appropriate results.
  • Ensures guest satisfactions
  • Prepares reports using both computerized reservation system and other computer software.
  • Acts as a main resources for reservation agents needing assistance technically or with regards to achieving customer satisfaction
  • Ensures reservation department and front office staffs are constantly aware of availability states open, on request, closed dates and high demands dates.
  • Responds to all guest reservation requests and executes prompt, courteous and accurate guest service at all times.
  • Answers guest inquiries to hotel services, registration of guests and shopping, dining, entertainment and travel directions.
  • Manages systems that are setup within the reservations department to ensure accurate handling and monitoring of phone calls
  • Maintains a clean and organize work area
  • Creates and manages rates and packages configured on the hotel software
  • Tracks all reservations picked up from all Online channels
  • Maintains professional working relationship and promote open lines communication with HODs, associates and other departments of the hotel.
  • Assists the Director of Revenue in preparation of monthly revenue and occupancy forecasting.
  • Communicates availability/close outs to wholesalers.
  • Processes retentions, no show and cancellations as per the hotel policy and procedures
  • Monitors all VIP’s special guests and requests.
  • Monitors all stationary supplies in the Reservation department.
  • Tracks daily, weekly, monthly and yearly statistics for analytical, budgeting and forecasting purposes.
  • Maintains an organized and comprehensive filing system with documentation of reservations, reports, restrictions etc. 
  • Maintaining a business environment based on the Code of Conduct and Company Vision
  • Maintain and enhance the open door policy to all associates providing advice and guidance when needed in regards to their issues or concerns and/or grievances
  • Assist the Director of Revenue for People leadership of direct reports  (recruitment and selection, performance management (Appraisal/PDP), associate development and motivation, counselling / disciplinary issues. 
Human Resources
  • Ensure that the hotels are fully compliant with Wyndham people processes and deadlines that govern all Wyndham properties. E.g. AES, Success Matters, Probation reviews etc.
  • Ensure 100% compliance with all mandatory training for departments; as well as the Departmental Trainers are positively encouraged
  • Assist the Director of Revenue in controlling the LTO, Absence and Payroll in your department in conjunction with the HR Leader on property to ensure that any areas of concern and monitored and rectified to meet the HR BSC Targets.
  • Conduct interviews for relevant roles in conjunction with HR
  • Ensure that you dine in the Associate restaurant at least three times a week and provide HR Leader on property feedback
  • Support WYNcom with quarterly People, Community and Sustainability engagement events. 
  • To conduct or chair regular communication meetings with team(s) and actively participate in relevant business meetings to facilitate effective communication.
  • Share all relevant information with Director of Revenue in 121’s. 
  • Assist the Director of revenue in planning and tracking  departmental budget  
  • Assist the Director of Revenue in planning and tracking departmental holidays and lieu days as per the needs of the business.
